The business need
TechStore needed a connected way to manage the work around each service job: recording the customer and device, assigning a technician, tracking repair progress, recording parts and completing the invoice and payment steps.
The wider implementation also needed to support everyday retail operations across branches, including stock, purchasing, sales invoices and financial records.
What Saiph implemented
Connected service workflow
Customer and device intake, technician assignment, repair updates, parts usage, invoicing and payment tracking were brought together in ERPNext, with responsibilities separated by operational role.
Stock and serial-number handling
The implementation supported opening-stock preparation and loading, branch warehouses, serial-number entry and stock-and-cost information for day-to-day operations.
Branch-specific billing
Each branch was configured with its own warehouse, cost centre, address, invoice presentation and invoice series. The setup continued the client's existing invoice numbering and incorporated warranty information on invoice lines.
Purchasing and financial records
Purchase-entry workflows, branch cash accounts and payment recording were configured alongside sales and stock processes.
Operational reporting
Branch day books, stock-and-cost reporting and a familiar ledger-style report were added to support the team's day-to-day review of transactions and stock.
Operating guidance
Saiph provided documented procedures for opening stock and warranty replacement, with the procedures exercised in a test environment before issue.
From implementation to daily use
By October 2026, TechStore was using the system for live billing, with sales, purchasing and stock transactions recorded in ERPNext. Saiph continued making focused adjustments as the team adopted the workflows.
The delivery connected service coordination with the stock and commercial steps around it, while giving branch operations a shared system for their records.
